Part Time Administrative Assistant
Reporting to the Director of Operations and Housing Development, the Administrative Assistant provides administrative support for the management of the Society’s finances, public communication, paper and electronic filing systems and office administration.
Specific Duties:
Administration
- Maintain Society records – both paper and electronic files
- Support Board functions – arrange for meeting space, provide meeting reminders, arrange food, distribute agenda, minutes and other meeting materials
- Assist in planning and preparation for AGM
- Receive and respond to general telephone calls and emails or refer to appropriate staff person
- Ensure efficient operation of the office, including purchasing necessary supplies
- Oversee and maintain donations received and donor contact database
- Ensure housing application forms are up-to-date and made available as required
Financial Management
- Monthly reconciliation of bank statements/ credit card statements for accuracy, forwarding to accountant with a detailed breakdown of charges
- Monthly review that invoices are coded to appropriate accounts
- Forward monthly property management financial reports to accountant
- Prepare accounts payable and payroll cheques for board signatures, maintain cheque records and disburse cheques
- Process all donations and tribute cards in a timely manner, maintain an internal record of all donations received, issue charitable tax receipts
- Prepare bank deposit slip and deposit funds to banking institution
Communications
- Ensure website is maintained and updated as required
- Support Tikva Housing public awareness through social media including Facebook and Twitter
Qualifications
- At least 3 years’ experience in office administration roles
- Basic knowledge of bookkeeping principles
- Proficiency with MS Word, Excel, Outlook and Power Point
- Basic knowledge of WordPress website manager
- Skilled with Facebook and Twitter
- Knowledge of the Jewish community is an asset
COMPENSATION: Part-time position, 12 – 16 hours per week. Salary commensurate with experience.
